Description and requirements

Role Overview

Are you highly organized, proactive, and passionate about creating a wellrun and engaging workplace? In this role, you will support our Strategic Marketing Leadership Team based in Paris (3-4 executives) in administrative and organizational tasks while ensuring smooth daily office operations.

Beyond administration, you will play a key role in coordinating activities across teams (~200 team members) and creating a positive office environment by organizing internal events, workshops, and team moments.

What you’ll do

You will be the backbone of daily operations, ensuring everything runs efficiently and smoothly. From managing calendars and coordinating meetings to handling travel arrangements and administrative processes, you will enable leaders and teams to focus on their priorities.

You will also take ownership of office management, acting as the goto person for all operational topics. This includes managing office supplies, coordinating with vendors, and maintaining a wellorganized and welcoming workspace.

A key part of your role will be planning and coordinating office events and team activities.

You will organize team meetings, offsites, celebrations, and workshops—handling logistics endtoend (venue, catering, communication, materials). Your goal is to create engaging and memorable experiences that strengthen collaboration and team culture.

You will work closely with different teams and stakeholders, ensuring strong coordination, smooth communication, and effective followup on key actions. No two days will be the same, offering a dynamic and peoplefocused environment.

What you’ll bring

You are someone who enjoys making things run smoothly and creating a great environment for others to perform at their best. You thrive in organizing, coordinating, and bringing people together.

You are proactive and solution-oriented, always looking for ways to improve processes and enhance the workplace experience. You enjoy planning events and creating moments that bring teams together and build a strong culture.

Most importantly, you want to have an impact—not just by supporting operations, but by helping create a workplace where people feel engaged, connected, and motivated.

What we’re looking for is:

  • Experience in an administrative, assistant, or office management role (5+ years preferred)
  • Strong organizational and coordination skills
  • Experience in planning and managing events (200+ attendees’ size)
  • Ability to multitask and work in a fast-paced international environment
  • High reliability, attention to detail, and discretion
  • Strong communication and interpersonal skills
  • Proactive mindset and problem-solving attitude
  • Team player with a service-oriented approach
  • Proficiency with MS Office; fluent in English and French
